How to Verify a Matcha Supplier in China

A supplier website, sample and certificate bundle are a starting point—not complete due diligence. Verification should follow the product risk, destination market and value of the commitment.

Five-stage checklist

Move from identity to independent evidence.

1. Identify the counterparty

  • — Registered legal name and address
  • — Manufacturer, processor, brand owner, exporter or trader
  • — Factory and tea-garden claims tied to evidence
  • — Authorized person and contracting entity

2. Define the product

  • — Origin and raw-material source
  • — Cultivation and shading claim
  • — Processing route and grinding method
  • — Specification, grade terminology and intended use
  • — Lot coding, shelf life and storage

3. Check quality evidence

  • — Representative sample and agreed evaluation method
  • — Lot-specific COA
  • — Pesticide, heavy-metal and microbiological reports relevant to the destination
  • — Certificate issuer, scope, product and validity
  • — Traceability and complaint handling

4. Test commercial reliability

  • — MOQ and trial-order policy
  • — Capacity, seasonality and lead time
  • — Price basis, packaging and Incoterms
  • — Sample-to-bulk consistency controls
  • — Change notification and contingency planning

5. Verify independently when risk justifies it

  • — Certificate verification with the issuer
  • — Third-party laboratory testing
  • — Remote or on-site factory assessment
  • — Reference shipment or export-document review
  • — Written contract with specifications and remedies

Red flags

Pause when evidence cannot be connected to the actual product and company.

  • The contracting company differs from the certificate holder without explanation.
  • “FDA certified” is used without a precise explanation of the registration or requirement.
  • Only generic certificates are supplied; scope, product or validity cannot be checked.
  • The sample is excellent but no lot-consistency process is defined.
  • Origin, shading, tencha or stone-ground claims change between documents.
  • Pressure for large prepayment appears before identity and specifications are settled.
